We are seeking a Proposal and Communications Coordinator with proven expertise in Adobe In-Design to join our marketing team. This role is responsible for developing high-quality proposals, presentations, and marketing collateral that win work and strengthen our brand. The ideal candidate is a detail-oriented communicator who thrives in a fast-paced environment and can translate complex construction information into clear, engaging content.

Position Responsibilities
- Manage the RFQ, RFP and Interview process from conception to completion, including, but not limited to, overall strategy, as well as design, layout and production within Adobe In-Design.
- Collaborate with project managers, executives, and technical staff to craft compelling, client-focused content.
- Maintain consistency with brand guidelines while elevating the visual impact of proposals and marketing collateral.
- Draft, edit, and proofread project narratives, resumes, and case studies.
- Support internal and external communications, including newsletters, award submissions, and company announcements.
- Website updates with a focus on maximizing our online presence through SEO.
- Manage deadlines across multiple concurrent pursuits, ensuring timely and high-quality deliverables.
- Assist with marketing initiatives such as event materials, social media graphics, and project signage as needed.
- Occasional travel to our Jacksonville, Florida office.
Minimum Qualifications
- Bachelor’s degree in Communications, Marketing, Graphic Design, or related field.
- Expert level Adobe In-Design skills; proficiency with other Adobe Creative Cloud applications preferred.
- 3–5 years of experience in proposal development, marketing, or communications—AEC industry experience strongly preferred.
- Exceptional writing, editing, and proofreading skills.
- Strong organizational skills with the ability to manage multiple priorities under tight deadlines.
- Comfortable taking initiative and strong work ethic.
- SEO expertise is a plus.
- Knowledge of construction terminology and the proposal process (RFQs/RFPs) is a plus.
